KEY RESPONSIBILITIES:
Executive management of scheduling, calendar, travel and expenses. This includes coordinating domestic and international travel and accommodations, and be the primary point of contact for execs.
Project/program management of initiatives, including documenting, tracking, and helping to Regular collaboration with other staff members regarding cross-functional meetings, events, and other initiatives, and with other colleagues as appropriate.
Sound business judgment, particularly as it relates to confidential information and people outside the organization.
Driven to complete key deliverables, with consistent and thorough follow-up on outstanding items.
Collaborate with universities and research centers.
Execute NDAs and contract agreements with institutions and vendors.
Maintain all meeting rooms, making sure executives are attending the meetings on time, as expected, and with deliverables.
Own and organize work logistics, lunch and dinner ordering when organizing events, and other ad-hoc requests.
Plan and assist with office events.

QUALIFICATION REQUIREMENTS:
5 – 10 years experience as an EA, assisting busy global executives.
Willing to work nights and weekends while executives are traveling – flexible shifts.
Proven track record successfully supporting C-level executives.
Excellent interpersonal, organizational and communication skills and exceptional attention to details.
Take ownership of tasks and projects, ensuring follow-up and 100% completion.
Work well under pressure in an ever-changing environment.
Proficiency in Microsoft Word, PowerPoint, Excel, Notes, and Outlook (Calendaring); experience with Concur, JIRA, and Zoom a plus.
Extremely patient, approachable, and flexible—able to deal adeptly with assorted personality types.
Ability to prioritize and anticipate needs, handling multiple projects successfully in a fast-paced environment.
A “no task is too small” attitude, with an innate desire to lend a helping hand to colleagues.
